Processing a Payment with Tyro Health (AUS only)

AUS only

Learn how to process payments using your Tyro terminal with Zanda.

There are a few ways to process a payment using Zanda and your Tyro terminal and each might be useful in different situations. In this article, we’ll cover all.

Processing a payment from the Appointment Panel

Processing a payment using your Tyro terminal from the Appointment Panel is really easy. Just follow the steps below to learn how.

  1. Select the Appointment in the calendar.
  2. On the appointment panel to the right scroll down to the Invoice section.
  3. Open the Payment Method dropdown and select Tyro from the Integrated Payment section.
  4. Modify the amount as required and click Submit.
  5. Complete the transaction on the Tyro terminal.
  6. Print a customer receipt as required using the modal that appears in Zanda.

Processing a payment from the Edit Invoice page

Processing a payment from the Edit Invoice page is very straightforward, and similar to the above.

  1. Edit the invoice that you would like to apply the payment to.

  2. Scroll down and click + Add Payment.

  3. Open the Payment Method dropdown and select Tyro.

  4. Modify the payment amount as required and click Submit.

  5. Complete the transaction on the Tyro terminal.

  6. Print a customer receipt as required using the modal that appears in Zanda.

Processing a payment from the Billing menu

  1. Go to Billing > New Payment.

  2. Enter the client’s name and select them from the list.

  3. Open the Payment Method dropdown and select Tyro.

  4. Modify the payment amount as required and click Submit.

  5. Complete the transaction on the Tyro terminal.

  6. Print a customer receipt as required using the modal that appears in Zanda.

Splitting a Tyro payment across two clients

If two clients share a payee, such as a shared Third Party profile, or one client is billed to the other through Bill To or Payable By, you can settle their invoices with a single Tyro transaction:

  1. Go to Billing > New Payment.
  2. Instead of an individual client, search for and select the shared payee (the Third Party, or whichever client is set as the other’s payer).
  3. Open the Payment Method dropdown and select Tyro, then click Submit.
  4. Complete the transaction on the Tyro terminal.
  5. Every unpaid invoice billed to that payee, across all the clients it covers, will appear. Tick the invoices you’d like to pay with this payment and click Save.

If the two clients don’t share a payee, each Tyro transaction still needs to be processed separately per client. See Paying invoices for multiple clients at once in Adding and Managing Payments for the same approach using other payment methods.

Processing a MOTO payment directly through your Tyro terminal

Mail Order/Telephone Order (MOTO) payments let you process a credit card payment when the client is not present, such as when taking payment over the phone.

When you process a MOTO payment directly through the Tyro terminal without starting the transaction in Zanda, the payment is not automatically recorded against the client’s invoice. You will need to record it manually after Tyro approves the transaction.

Set up a payment method for manually processed Tyro payments

We recommend creating a payment method called Tyro Manual. This makes it easier to distinguish payments processed directly on the terminal from payments processed through the Tyro integration.

You only need to complete these steps once:

  1. Go to User Menu > Account Settings > Payments > Payment Methods.
  2. Click Add payment method.
  3. Enter Tyro Manual as the payment method name.
  4. Click Save.

Process the MOTO payment on your Tyro terminal

The screen layout may vary depending on your Tyro terminal model.

  1. Press the Menu button on your Tyro terminal.
  2. Select Transactions.
  3. Select MOTO - Purchase.
  4. Enter the payment amount and select MOTO Payment.
  5. If the payment is over $200, enter the Operator password when prompted.
  6. Select Telephone order or Mail order.
  7. Enter the client’s card number and expiry date. For telephone orders, also enter the CVV.
  8. Complete the transaction and check that an Approved message appears.

Important

MOTO is subject to approval by Tyro and can only be used for credit card payments. Contact Tyro if the MOTO option is not available on your terminal.

Record the payment in Zanda

After the payment has been approved:

  1. Open the invoice the payment relates to.
  2. Scroll to the Invoice Payments section and click + Add Payment.
  3. Select Tyro Manual from the Payment Method dropdown.
  4. Enter the amount received and check the payment date.
  5. Save the payment as usual.

The payment will now appear against the invoice in Zanda while remaining clearly identified as a manually processed Tyro transaction.

Recording Tyro Online Payments in Zanda

Payments received through Tyro Online Payments are processed outside the Zanda Tyro terminal integration. This may include payments taken through Tyro online services such as Virtual Terminal or Payment Links. These payments need to be manually recorded against the relevant invoice in Zanda.

We recommend creating a separate payment method called Tyro Online. This helps you distinguish online Tyro payments from integrated terminal transactions and other manually processed payments.

Set up the Tyro Online payment method

You only need to complete these steps once:

  1. Go to User Menu > Account Settings > Payments > Payment Methods.
  2. Click Add payment method.
  3. Enter Tyro Online as the payment method name.
  4. Click Save.

Record a Tyro Online payment

Once you have confirmed that the payment was received through Tyro:

  1. Open the invoice the payment relates to.
  2. Scroll to the Invoice Payments section and click + Add Payment.
  3. Select Tyro Online from the Payment Method dropdown.
  4. Enter the amount received and check the payment date.
  5. Save the payment as usual.

Using separate Tyro Manual and Tyro Online payment methods keeps your Zanda payment records accurate and makes reconciliation and reporting easier.

Separating payments between different merchant bank accounts

To achieve this, you can use Tyro’s Multi-Merchant functionality. This allows an unlimited number of providers to share one physical terminal, while routing funds into their individual bank accounts based on who is processing the invoice in Zanda.

Here’s exactly how to set it up:

Step 1: Find the Merchant IDs (MIDs) on your Tyro Terminal

First, you’ll need the unique Merchant ID for each individual practitioner. You can pull these directly from your physical machine:

  1. Press the Menu button on your Tyro terminal.

  2. Select Merchant Information.

  3. Select Merchant Name, MID and TID.

  4. Write down the different MIDs and which practitioner they belong to.

Step 2: Add the Additional MIDs into Zanda

Once you have the list, you’ll need to add them into Zanda so the software knows where to direct the funds when an invoice is paid:

  1. In Zanda, go to User Menu > Account Settings > Payments > Tyro > Tyro Settings.

  2. Select the Merchants tab.

  3. Click + Add Merchants.

  4. Enter the individual practitioner’s MID information and select their name from the practitioner dropdown.

  5. Click Save.

  6. Repeat this for every practitioner in the clinic.

If the additional MIDs aren’t added to Zanda, all transactions will default to the primary Merchant ID used when the machine was originally paired — meaning all funds will pool into that single account. Once the MIDs are added, Zanda automatically tells the Tyro machine which account the funds belong to, based on the practitioner assigned to the appointment/invoice.

Refunding a Tyro payment

A payment processed through the Tyro integration can’t be edited once it’s created. If the amount or another detail needs to change, refund it and record a new payment instead:

  1. Edit the invoice that the payment was made against (if the payment is related to an appointment, right-click the appointment and select Edit Invoice).

  2. Scroll to the Invoice Payments section and click- Tyro Refund

  3. Enter the Refund amount into the prompt and click Submit

  4. Follow the prompts on the terminal to refund the payment.

  5. The refund will be recorded on the invoice in the Invoice Payments section:

Refunding a MOTO or manually recorded Tyro payment

The Tyro Refund button only appears on an invoice that has a payment processed through the Tyro integration. If the original payment was processed directly on your terminal (such as a MOTO payment) or through Tyro Online Payments, and you recorded it in Zanda under a payment method like Tyro Manual or Tyro Online, the refund isn’t started from Zanda. Instead:

  1. Process the refund with Tyro, on your terminal or through your Tyro online services. The refund options available, including whether a refund can be made without the card present, depend on your Tyro terminal and merchant setup. Contact Tyro if you’re unsure which option to use.
  2. Once Tyro approves the refund, open the invoice the payment relates to.
  3. Scroll to the Invoice Payments section and click + Add Payment.
  4. Select your Refund payment method and enter the refunded amount as a negative number (for example, -120).
  5. Save the invoice.

For more on recording refunds, see Refunding An Invoice.

A manually recorded Tyro payment is recorded like any other payment in Zanda, so if it was entered with the wrong amount or date (for example, a MOTO payment that wasn’t approved), you can edit or delete it directly on the invoice.
