Setting Up Saleable Categories
Saleable Categories are used to classify groups of services, products and session packs. This customisable tool will help to track and report on the types of services, products or session packs that your practitioners sell. To create them:
- Navigate to User Menu > Account Settings > Practice > Custom Lists;
- Select Saleable Categories and click on Add Saleable Categories;
- Name the category, make it Active and click Save;
- Whenever necessary, you are able to edit or deactivate a category.
Setting Up Services and Products
The saleable categories that you created in your profile, can be allocated to service, product and session pack templates. To do so,
- Navigate to User Menu > Account Settings > Billing > Services/Products/ Session Packs;
- Create a new service/product/session pack template, or open an existing one to edit.
- In the Saleable Category dropdown, select the relevant category;
- Save the changes.
Running Sales Report
The versatile Reports feature equips Zanda users with extensive analytics data. Click Reports and search for the Sales report, the one you will use to run regular reports on work hours and sales amounts for your practitioners.
- Open the Sales report;
- Set the report filters as required;
- Run the report;
- This report includes invoice number, date of sale, client name, calendar/practitioner, Location, appointment date (if the invoice is associated to an appointment), type of sale (service, product, session pack), item sold (either service or product name), time/duration (relevant for services), total invoices amount, tax amount, saleable category.
- You can filter or group the report by calendar/practitioner and saleable category for more specific information.
- The report result can also be exported to an Excel/csv file that can be used to finalise payroll in the other software that you may use for human resource management.
Paying practitioners per appointment
Work out what each practitioner is owed from your reports, then pay them through the payroll or accounting software you already use. Zanda doesn’t raise an invoice from your practice to a practitioner - every invoice in Zanda is a client invoice, billed to the client or to a third party paying on their behalf, so there’s no practitioner invoice or pay run to generate.
If you pay a set amount per appointment, use the Appointments report:
- Click Reports and search for Appointments;
- Set Start Date and End Date to the pay period, for example the calendar month;
- Set the Calendar/Practitioner filter to the practitioner you’re paying;
- In Appointment Status, select the statuses you pay for. Attended appointments are usually Completed, and depending on how your practice marks appointments, Arrived and Confirmed as well. The ones you might pay a cancellation rate on are Cancelled, Late Cancellation, and No Show. See Appointment Statuses, Symbols and Calendar Legend for what each status means;
- Run the report. Once the results load, you’ll see a tally of the total appointments included, on screen and in the printout;
- Run the report once for each pay rate, for example once for attended appointments and once for cancellations. You can also export the results to Excel and apply the rates there.
If you pay on the value of what each practitioner sold rather than a flat rate per appointment, use the Sales report described above instead.
Effective payroll management is essential not only for legal compliance but also for maintaining employee satisfaction and trust. Zanda is a reliable tool that will assist you in the payroll management process.
