Understanding How Your Practitioner Uses Note-Taking AI

A guide you can share with clients on how the Zanda note-taking AI improves their sessions and keeps their personal data safe and securely managed.

What Is Note-Taking AI?

Zanda note-taking AI is a secure, AI-powered tool your practitioner uses to streamline the process of documenting your sessions. Instead of writing notes manually after your appointment, your practitioner can use this technology to transcribe and summarize the conversation in real time. This helps save time, reduce administrative work, and ensure accurate records of your care.

Think of it as a secure digital assistant—listening only with your consent and helping your practitioner document your session efficiently and professionally.

How Does Note-Taking AI Work?

With your informed consent, your practitioner may use it to transcribe your session, generate draft notes from that transcript based on a chosen template, and refine those notes for accuracy, clarity, and their own documentation style, all with secure AI tools rather than manual note-taking after your appointment. No video or access to your personal device is involved. You may also notice your practitioner dictating additional notes into the system; these are securely transcribed and included in the final session summary.

Can I Decline Use of Note-Taking AI?

Yes. Your consent is always required before note-taking AI is used in a session. You can:

  • Provide verbal or written consent at the start of a session.

  • Withdraw your consent at any time.

  • Ask your practitioner how your information will be handled.

Some clinics may also provide a consent form for you to sign before using this service. If you prefer your sessions not be recorded or transcribed, your practitioner can continue documenting notes manually.

If you have signed a consent form via the Client Portal, you can view and download a copy of it at any time. Simply log in to your Client Portal, navigate to My Forms, select the completed form, and click Download. After the form is downloaded as a PDF file, it can be printed.

What Are the Benefits for Me?

Using note-taking AI allows your practitioner to:

  • Spend less time on admin and more time focused on your care.

  • Produce clear, structured notes that support continuity of care.

  • Reduce delays in finalizing session summaries.

  • Improve note accuracy with structured formatting and transcription.

It’s part of a modern, efficient approach to healthcare documentation—used with care, caution, and your full consent.
