Hi there, welcome to this video. Irina here with you, Product and Community Specialist at Zanda.

In this video, we’ll look at the main navigation components of the Calendar screen. In this part, we’ll focus on the sidebar menu and what each of the options can help you do.

0:26 Expand or collapse the sidebar

Let’s start with the top option, the Menu button.

Clicking it collapses or expands the sidebar. This can be especially helpful when you’re working on a smaller screen and want more space for the Calendar.

Even when the sidebar is collapsed, you can hover over each icon to see what the button does.

0:52 Calendar

Next is Calendar.

Click this button to return to the main Calendar screen from any other page in Zanda.

1:04 Daily Focus

Next is Daily Focus.

This gives practitioners an overview of their day, including today’s appointments, client tasks, and what’s coming up next.

You can also see useful information connected with appointments, such as linked invoices and whether an appointment is a telehealth appointment.

1:30 People

The People menu is where you can add and manage profiles.

You can search your existing profiles using Instant Search or Advanced Search, add new profiles, and manage clients on the waitlist.

1:49 Billing

The Billing menu gives you quick access to your billing workflows.

You can create invoices, add payments, and view your existing invoices and payments.

1:59 Dashboard and Reports

The Dashboard gives you a quick overview of what’s happening across your practice.

From the Reports menu, you can open the Reports Dashboard and browse reports grouped by category.

You can also search for a report by name or other details you remember, star frequently used reports so they appear at the top, and quickly return to reports you’ve used recently.

2:37 Tools

The Tools menu brings together a wide range of practice management features.

Here, you can manage communication templates for SMS, email, and letters.

You can also use bulk communication tools to send SMS and email messages to multiple clients, referrers, and other contacts.

You can connect your Mailchimp account for additional marketing communication options, and manage your note templates and online form templates.

3:10 Auditing, integrations, and data management

The Tools menu also gives you access to administrative and integration options.

You can review user activity using the log file and connect Zanda with Xero to import and export invoices and payments.

You can complete a full or partial export of your Zanda data, connect with Medicare or HealthPoint where available in Australia, and make bulk updates to profile information when needed.

3:48 Zanda API and HelperBee

You can also access the Zanda API from the Tools menu.

And the little icon you can see moving around the screen is HelperBee, the Zanda support chatbot.

You can use HelperBee whenever you have a question about Zanda and need help finding information.

That’s our overview of the Zanda sidebar, which brings together many of the tools designed to support your day-to-day practice management.

In this video, let’s keep looking at the main components of the Calendar screen in Zanda. This time, we’ll focus on the Calendar toolbar and the tools that help you navigate and manage your Calendar efficiently.

0:29 Filter by practitioner

The first tool is the Practitioner filter.

If more than one practitioner uses your Zanda account, this is a very useful way to organize your Calendar view.

You can view appointments for all practitioners, select an individual practitioner, or organize practitioners into groups based on their role, the type of therapy they provide, or another grouping that works for your practice.

0:56 Filter by location

Next is the Location filter.

If your practice works across multiple locations, including physical locations, telehealth, phone appointments, and others, you can select which locations you want to see.

You can also select all locations to get an overview of appointments booked across your practice.

1:15 Move between dates

The arrow buttons let you move your Calendar view backward or forward.

The date displayed at the top helps you see where you are in the calendar year.

Click the date to open the date navigation panel, where you can jump directly to a specific date or move forward by a selected number of weeks.

1:48 Return to today and check the current time

If you’ve moved to another date and want to quickly return to the current week, click Today.

The Calendar also helps you orient yourself visually. The current day is highlighted, and the current-time indicator shows where you are in the day.

2:23 Change the Calendar view

You can switch between different Calendar views depending on how you want to organize your schedule.

You can view a specific day, use a Monday-to-Friday view, or, when viewing an individual practitioner, switch to a monthly view.

2:40 Filter appointments

The Calendar filters let you narrow down the appointments displayed based on the information you need.

For example, you can filter appointments based on whether they have notes or invoices, appointment status, flags, Medicare claims in Australia, allocated resources, and other criteria.

You can also apply multiple filters together to create a more focused Calendar view.

3:13 Refresh the Calendar

The Refresh button reloads the current Calendar view.

This can be useful in a multi-practitioner practice where several users may be making changes in the same Zanda account. Refreshing lets you quickly see the latest updates.

3:29 Use Privacy Mode

You can switch your Calendar to Privacy Mode when you need to share your screen with someone else.

For example, if you’re showing appointment availability to a client or another person, Privacy Mode lets you quickly hide client information from the Calendar screen.

3:49 Find available appointment times

The Finder helps you quickly search for an available booking time.

You can specify information such as the appointment type, practitioner, location, and resources to help find a suitable appointment time faster.

4:04 Open the waitlist and adjust appointment visibility

You can also open the waitlist directly from the Calendar toolbar.

The additional visibility options let you hide appointments you don’t need to see in the current Calendar view, such as canceled or other non-active appointments.

4:25 Print the Calendar and use the Calendar legend

You can print your Calendar to create a printout of booked appointments.

You can also open the Calendar legend to quickly understand what the different colors, icons, and labels on the Calendar screen mean.

0:05 Zanda logo and top toolbar

This blue strip at the top contains several helpful buttons that make it easier to navigate Zanda.

The Zanda logo is also a useful shortcut. Click it from anywhere in Zanda to return to the main Calendar screen.

On the right-hand side, you’ll find Quick Search.

When you open it, you’ll first see your Recently Viewed items, so you can quickly return to things you’ve been working on.

You can also search across Zanda for clients, appointments, invoices, referrals, third parties, settings, and more by entering the information you know.

For example, client details can help you find their profile, appointments, invoices, or referral information. You can also search for a third party using details such as their name, part of an email address, or phone number.

1:12 Search for settings

Quick Search can also help you find settings.

For example, if you select Settings and search for “invoice”, you may see relevant options such as invoicing automations, invoice settings, Medicare settings, or invoice templates.

You can then jump directly to the setting you need.

1:30 Help menu

Next is the Help menu, which gives you several ways to find assistance with Zanda.

Selecting Get Help opens the HelperBee chatbot.

You can also access the Knowledge Base, Zanda Academy, and the Ideas Board.

If there’s something you’d find useful in Zanda, you can submit an idea and explain how it could support your practice workflow.

2:06 Beta program, issue reporting, and system status

From the Help menu, you can also see what’s happening in the beta program and join as a tester for upcoming features.

If you think something isn’t working correctly, you can report an issue or check System Status to see whether there are any known problems.

2:29 Settings

The Settings button opens the Settings springboard, where you can access the settings available in your Zanda account.

2:37 Quick Actions

The plus icon opens Quick Actions.

This lets you quickly create commonly used items in Zanda, including:

  • new appointments
  • new profiles
  • new notes
  • new forms
  • new invoices
  • new payments

3:03 Practice Hive notifications

Next is Practice Hive, a central place for updates and activity in your practice.

Here, you can see notifications about activity such as new Client Portal submissions, newly uploaded files, system warnings, and invoices paid through Stripe.

3:26 Zanda updates, tips, and team communication

Practice Hive is also where you can see updates about what’s happening in Zanda, including newly released features and helpful Zanda Tips.

You can check messages sent by members of your team and create messaging channels for team communication.

Practice Hive also provides quick access to your practice dashboard, where you can see an overview of activity in your Zanda account.

4:03 Tasks

The Tasks menu is where your client tasks and practice tasks are managed.

Tasks may be generated automatically by settings in Zanda or created manually by you or other members of your team.

You can use this area to see what needs attention and action your tasks.

4:28 Messages

The Messages panel shows messages sent by the system or manually by members of your team, along with replies received from clients.

You can also start a new message to a client using templates set up in Zanda or by your team, or write and send your own message.

In this video, let’s talk about the User Menu, another component that helps you navigate and manage your Zanda account.

You may also have seen the User Menu mentioned in the Knowledge Base or suggested by HelperBee as part of a navigation path.

0:26 What is the User Menu?

The User Menu is your personal navigation and settings menu.

What you see here depends on the level of access and permissions you have in your Zanda account.

You can open it from the top-right corner of the Zanda screen.

On a larger screen, you’ll see your Zanda account business name. On a smaller screen, such as a phone, you may see a user profile icon instead.

When you open the User Menu, you’ll see your username at the top followed by the options available to you.

The exact selection depends on your user permissions.

1:06 Switch Account

If you have access to multiple Zanda accounts, you may see Switch Account.

This can be useful for businesses that provide services such as virtual administration to multiple practices. It lets an authorized user switch between the Zanda accounts they have access to.

1:40 Refer a Friend

Another option is Refer a Friend.

If you’d like to recommend Zanda to a friend or colleague, you can access your referral link here and share it with them.

They can use your referral link when creating their Zanda account, and you may both be eligible for a referral reward.

2:06 Manage your User Profile

All Zanda users can access their own User Profile from this menu.

Here, you can view or update information such as your username and user email address, and reset your password.

You can also upload your email and letter signature so it can be inserted into communication templates using the relevant merge field.

2:35 Time zone and two-factor authentication

From your User Profile, you can enable an additional time zone if your practitioner time zone is different from the main business time zone in Zanda.

You can also set up two-factor authentication (2FA) to add another layer of security to your user account.

2:53 Practitioner Profile

If you’re a practitioner and have permission to manage your own practitioner settings, you can also access your Practitioner Profile from the User Menu.

Here, you can update your practitioner details and settings and manage available integrations, such as connecting your own Zoom account.

3:17 Subscription and account settings

Depending on your permissions, you may also be able to access subscription information, invoices, optional add-ons, and payment details.

If you have the required access, you can also open the Settings springboard from the User Menu to access account settings.

3:38 Log out securely

At the end of the day, you can use Log Out to securely sign out of your Zanda account.

This helps protect your account if your device is left unattended.

Logging back in also starts a fresh Zanda session.
