Dr. Will Vaughn

"I finally told him, 'I think you hit the jackpot.' I had no concerns. I'd hunted down everything I thought was too good to be true, and it was still good and true."

"I read the release notes and thought, you're actually listening. I felt heard."

Performance Rehab Chiropractic thrives on the strengths of two people: Dr. Will Vaughn, who provides care, and Terri Her, the office manager who keeps the business running.

Dr. Vaughn founded his practice in Madison, Wisconsin to offer chiropractic care, Active Release Techniques, private clinic services, and corporate wellness programs. He treats athletes, office workers, and people recovering from injuries. Some call him “Dr. Magic Hands.”

His philosophy is simple: help patients get better in as few visits as possible.

“I just want people to feel better.”

Care quality was never the problem. Managing everything else was the hard part.

A practice that did not fit inside a standard system

Performance Rehab Chiropractic has a unique operational setup.

About 60 to 65% of the practice is corporate wellness, with Dr. Vaughn traveling on-site to businesses and employee programs across the area. The remaining 35 to 40% is private clinic care in Madison, where he sees around 20 to 30 patients a week.

Terri manages two streams: corporate accounts with on-site scheduling and employer billing, and clinic operations with notes, invoices, and records.

Dr. Vaughn’s schedule covers multiple locations, early mornings, afternoons, and a night shift rotation.

For years, Terri relied on a patchwork of basic tools. Tabs filled her screen. She juggled an old EMR and at least five other programs. She built custom processes for billing, records, scheduling, and communication just to keep up.

Terri made it work, but it was slow and exhausting.

“I would fill those 25 hours and still be behind.”

She worked weekends, stayed up late, and carried the stress of unfinished tasks.

The search that lasted years

Terri and Dr. Vaughn knew they needed a better EHR and practice management system long before they found Zanda.

“Enough had been enough for about three or four years.”

Terri researched system after system. She built huge spreadsheets and comparison matrices with features, pricing, patient portals, billing needs, and other must-haves. At one point, the spreadsheet was so large she printed it in sections, taped it together, and rolled it up like a scroll.

Most of the other software they explored was no better than what they already had. It was either too expensive, missing important features, or unable to support the practice’s unique mix of corporate wellness and private clinic care. Until they found Zanda.

“With Zanda, I was like, hold that thought. I need to do some more research.”

At first, it looked too good to be true. It checked the boxes they had spent years looking for, plus some they had not even thought to include. So Terri did what she does best: she tested it, questioned it, researched it, and joined calls to make sure there was not a catch.

After about four years of researching different systems, Zanda was the first and only platform she signed up to trial.

“I finally told him, ‘I think you hit the jackpot.’”

One system for a multi-part practice

Zanda unified every part of Performance Rehab Chiropractic.

Terri could manage the private clinic and corporate wellness sides without forcing the business into a system that did not fit. Zanda’s classifications and tags helped them organize different groups of clients, locations, and services in a way that made sense for their real workflow.

Zanda fit the complexity of their practice.

Scheduling became easier to manage. With Dr. Vaughn’s rotating corporate wellness work, clinic time, and multiple locations, Terri needed a system flexible enough to keep up. Zanda was able to handle it. Terri set up locations, adjusted practitioner hours, and kept everything aligned.

“It is working great now.”

For the first time, Terri felt caught up.

After clearing the last of the legacy billing and admin mess from the previous system, she found herself in a completely new position. She still worked 25 hours a week but finished everything with time to spare.

She caught up on long-delayed tasks, shredded old files, and started thinking of ways to help the business improve. When her admin work stopped consuming every minute of her day, new possibilities opened up.

The other reason Zanda stood out: the company listens to customers

Terri spent years searching for software that matched her practice. Most made her adapt to them. She compared options, made lists, and tested each one against her daily reality. Most could not keep up.

Zanda kept improving after launch. Terri saw new features, regular updates, and her own suggestions implemented.

“I read the release notes and thought, you’re actually listening. I felt heard.”

That mattered because Performance Rehab Chiropractic had already outgrown rigid tools. Terri did not want another platform that would solve one problem while creating three more.

Zanda’s responsiveness became part of the value. HelperBee answered quick questions. Complex ones reached a person. Product ideas turned into real features.

With Zanda, Terri stopped cobbling together workarounds. She finally had a system that adapted to her needs. That confidence convinced Terri that Zanda was the right fit for the long term.

From always behind to “What else can I do?”

With Zanda, Terri stopped running to catch up and started asking a question she hadn’t had the bandwidth for in years: “What could I do to help the practice?”

For many small practices, admin does not disappear because the work is done. It disappears because someone is staying late, working weekends, chasing details, checking records, cleaning up billing, switching between systems, and carrying the stress of not quite catching up.

For Terri, Zanda helped remove that second shift so the work actually fit in her workday.

The right system gives people parts of their lives back.

Testing the waters with AI

Before Zanda, documentation was a shared burden. Something that needed to be captured could involve dictation, transcription, checking, approval, and admin follow-up before it was done, which meant it ate up time on both sides of the practice.

“Zanda is the platform that introduced him to AI,” Terri says. Notes that used to take about 10 minutes of combined work per client now take 1 to 2 minutes, saving him 8 minutes per note across 20+ clients a day.

The efficiency made Dr. Vaughn curious. After seeing what AI could do with notes, he explored other AI-supported tools for the clinic. There was no pressure or disruption, just a useful starting point that led to more improvements.

One less thing to carry

Performance Rehab Chiropractic joined Zanda and watched the platform keep improving well past onboarding.

Terri still runs the business day to day, the way she always has, except now her work lives in one system instead of getting scattered across a dozen tabs, sticky notes, and half-remembered workarounds.

Zanda gave Performance Rehab Chiropractic a way to organize a complex, multi-part practice, cut the note-writing burden down to size, and hand Terri back enough space to move from “I’m behind” to “How can I help?”

The admin work hasn’t gone anywhere. Terri still manages a rotating schedule and a mix of corporate and clinic clients, but now all of it fits inside a normal workday, which leaves Dr. Vaughn free to focus on what he’s actually there for: getting people feeling better in fewer visits.
